Responsible for administrative, reporting, and operational duties in five general categories; Loan Operations, Portfolio Reporting, Legal Documentation, Office and Loan Administration, and Customer Service. Provides administrative and operational support by working with the operations personnel of the agent/lead banks and syndicators that are the sources of Specialty Finance's transactions. Interact with and assist Specialty Finance's loan servicing group, management team, loan administration and financial services departments within NYCB. Works independently to manage the administrative and operational requirements of the business. Reports to management any issues and open items, along with providing appropriate recommendations, on matters that concern the administrative and operational requirements of Specialty Finance. Performs additional duties and responsibilities as assigned.


Participates in computing and analyzing the business' financial metrics and key performance measures. Assists in developing, improving, and adhering to the department's processes, policies, and procedures. Utilizes experience and knowledge to ensure quality, timeliness, and successful completion of projects. Communicates with agent/lead banks and syndicators as well as outside legal counsel on a regular basis to support the workings of the business and provide any necessary information. Informs management of operational, regulatory, or compliance issues that may affect the portfolio and suggest solutions to mitigate the risk. Assists in the ongoing compliance and tracking of internal audit, SOX, internal loan review or other third party findings, observations, and recommendations. Reviews credit, legal, compliance, and regulatory documentation for transactions within the portfolio to ensure the transactions are in compliance with all requirements and that all necessary documentation has been received. Assists Loan Servicing/Administration in responding to billing, loan advance, payment and other operational type inquiries. Oversee all departmental wire transfers. Responsible for confirmation of the calculation methodology used in periodic interest calculations and unused line and letter of credit fees. Receives, interprets, and distributes agent/syndicator notifications. Processes expense reports and vendor invoices for departmental accounts payable. Reviews, processes, and obtains appropriate back-up and approval for all invoices paid within Specialty Finance. Develops, prepares, and maintains Excel worksheets for tracking business activity, changes in commitments and portfolio outstandings, and special projects as requested by the Director. Responsible for the administration and reporting functions within Specialty Finance. Assists on a wide variety of topics with other departments within the Bank, including Accounting, Audit, Tax, Finance, Legal, Loan Operations, Enterprise Risk Management, and Credit as well as external syndication sources, agent/lead banks, third party appraisal firms and legal service providers. Manages the documentation process for Specialty Finance. Reviews legal documentation and prepares documentation checklists to reflect the required documentation for transactions upon closing and ensures all original documents are forwarded to the Quality Control Department. Creates loan booking documents and responsible for gathering data and analyzing funding and advance requests and the application of pay down proceeds. Assists in the creation of sales management data, loan status/activity reports, special projects, loan and commitment tracking, and coordinating regulatory, audit, loan review, and SOX requirements. Prepares quarterly Statistical Summary Reports for the Specialty Finance Oversight Group and Board Credit Committee presentations. Assembles credit and legal documentation folders with all necessary documentation for OnBase purposes and provides subsequent documentation as appropriate. Provides customer service for routine inquiries and serves as a back-up to relationship managers when they are unavailable. Collaborates with management and staff to complete projects in order to achieve the objectives within the established time requirements. Manage the office administration process by providing training and guidance to new or junior staff and backup as required. Performs special projects and additional duties and responsibilities as required. Where applicable and when performing the responsibilities of the job, employees are accountable to maintain Sarbanes-Oxley compliance and adhere to internal control policies and procedures.


High school diploma or equivalent with an associate's degree preferred. Five years banking and commercial lending experience preferred.


Good knowledge of bank operations, procedures, and commercial lending practices is required. Ability to communicate well with internal and external partners and constituents. Computer literacy with proficiency in a variety of programs including Word, Excel and PowerPoint. Understanding of loan and lease documentation and terminology. Ability to multi-task work assignments with organizational skills to manage multiple ongoing projects. Strong analytical and problem solving aptitudes with great attention to detail. Ability to meet deadlines concerning essential and time-sensitive projects.
