JOB SUMMARY{A Regional Facilities Project Coordinator, works under limited supervision, and provides general facilities administration support, including responding to calls for facility repair, maintenance and the purchase of supplies and equipment for branches and leased properties within assigned region. {{ESSENTIAL FUNCTIONS{Responds to internal employees and tenants of the Bank's leased properties regarding facility related issues such as; maintenance requests, supply orders, product returns and payment inquiries. Obtains bids for, and schedules janitorial services, AC repair, fire extinguisher, plumbing services, pest control, and grounds maintenance such as lawn care. Works closely with the Contract Administration Unit (CAU) to establish regional service contracts/agreements. Maintains annual certificates of occupancy, city/county business tax receipts/licenses, etc. Assists in maintaining a pool of fleet vehicles in assigned region. Fulfills purchase order requests from supply inventory; packs and ships items to requestor. Consults catalogs and other references to obtain prices and specifications; contacts vendors and suppliers for supply quotes. Prepares and/or audits purchase orders and verifies proper form completion, authorization and pricing. Utilizes the Bank's on-line procurement system. Reviews vendor invoices for accuracy, ensures proper authorization and responds to any issues regarding receipt and payment. As requested, provides fixed asset inventory list to Accounting Department. Maintains equipment and supply inventory according to departmental policy; ensures related costs are charged to the appropriate department. Assists with reviewing service contracts. Assists in researching and recommending cost cutting opportunities. May provide regional back office support for various internal corporate bank departments such as; Corporate Support, Insurance Dept., I.T. Dept., Bank Security, ATM Dept., and Corporate Travel. Assists with the coordination of facility responses to inclement weather and other emergencies including Hurricane Preparedness and Post Hurricane Response. Participates in the planning and implementation of employee/department moves and special projects. Prepares and maintains routine to moderately complex correspondence, reports, files, and other documentation. Travels to bank branches as needed for special projects and reviews findings with manager. Acts as a liaison between Regional Facilities Manager and General Maintenance Field Technicians as needed. May review tenant lease agreements to determine the Bank's maintenance and repair obligations for leased spaces. Assigns, monitors, and reviews the progress and accuracy of maintenance work orders utilizing the bank's on-line work order system. Assists in coordinating OSHA or other facility training for facility team as needed. Notarizes permit application and other required documents as needed. Assists with building permit procurement as needed. Performs special projects, and additional duties and responsibilities as required. Where applicable and when performing the responsibilities of the job, employees are accountable to maintain Sarbanes-Oxley compliance and adhere to internal control policies and procedures.{{EDUCATION AND EXPERIENCE:{High school diploma or equivalent. Associate's degree or four (4) years of experience in office services, purchasing or facilities administration.{{KNOWLEDGE, SKILLS, AND ABILITIES:{Knowledge of, and the ability to apply concepts related to the procurement of office supplies and equipment and related vendor services. Knowledge of generally accepted accounting principles.{Knowledge of standard office practices and procedures. Computer literate with intermediate proficiency in Microsoft Office and procurement applications. Excellent written, verbal and interpersonal communication skills. Strong math skills. Strong organizational skills. Strong customer service skills.{Detail oriented. Ability to interact with vendors in resolving invoice issues.
